Online Consultation Services

Gravis Planning can design and manage all aspects of online and remote consultation for projects of all sizes.

With advances in modern technology and current challenges around Covid-19, online engagement has never been more important. Increasingly, it will become an integral part of community consultation for projects in our sector over the coming months. We are pleased to be in a position to offer our clients a broad range of online consultation services which are set out below.

Gravis Planning uses Digital Stakeholder Mapping Platforms for all PACC projects. In particular we use a Geographic Information System (GIS) to gather, manage, analyse and present spatial or geographic data. GIS data identifies all addresses within a selected defined area on a Spatial NI map. Through GIS and Council Pointer Data technology, Gravis Planning can provide you with detailed information on addressees in project areas.

Our Gravis Planning website allows clients to have the option of hosting all their PACC related project information online, on a bespoke dedicated project page.

We can also assist in the creation of a Virtual Consultation Room where visitors can make their way around the virtual venue and view project information and imagery. Please contact our Strategic Communications team for more details on this state-of-the-art approach to consultation.

For individual engagement, over and above conventional phone calls and emails, we successfully use Microsoft Teams, Zoom, Skype and Facetime for communicating with Councils, members of the public, interest groups, elected representatives and the media.

We can ensure that all online engagement is a 'two way' process through the provision of online questionnaires and surveys designed to capture meaningful feedback. Private comment boxes on project webpages and interactive videoconferencing can also allow consultees to speak to the Project team during the delivery of webinars. We can also provide support on 'staffing' the Virtual Consultation Room as required to answer live queries from attendees.

We use a number of data analysis tools to assess feedback and responses to the online consultation process. This gives us a better understanding of the positive aspects or potential risks associated with a client project allowing us to build support and mitigate objection. We can also use digital mapping tools to give a detailed geographical account of feedback received.

Remote Consultation

Alongside digital consultation, it may be a requirement from the Planning authority that remote consultation techniques are taken forward. This is done to ensure every effort is made to communicate with domestic households and businesses in a PACC defined area who may not be technology literate or have no access to online materials. This could include postal information packs, project brochures, free post return surveys, leaflets, newsletters and bespoke project answerphone services.

We produce detailed PACC reports for all major projects which detail and fully outline all types of consultation undertaken, including online and remote consultation methods which have been used to engage with stakeholders.
